OogaChat is run by [Legal name of the business] (“we”) in the United States. This policy explains what we collect when you use OogaChat, as a host with an account or as a guest joining a call, why, and what you can do about it. The short version: we keep as little as we can, we never record calls, and we never sell your data or use it for ads. When a host turns on notes, the call’s transcript and notes are kept for that host, and everyone in the call is told.
What we collect
- Your account (hosts). Your name and email address, so you can sign in and own rooms.
- Sign-in codes. We email you a one-time code. It expires after 10 minutes.
- Sign-in sessions. While you’re signed in, we keep your session with the IP address and browser it started from, to keep your account secure. Sessions end after 30 days, or when you sign out.
- Your rooms. Each room’s name, code, schedule and settings (such as the waiting room and whether oogaAI takes notes), and the email addresses the host wants the notes sent to.
- Notes (when the host turns them on). A transcript of what was said, the notes oogaAI writes from it, and the recap the host gets afterwards. See oogaAI’s notes.
- In a call. The name and picture you choose, and whether you’re muted, have your hand raised and so on, shared with the others in the call. We keep this list of people only while you’re in the call.
- Your microphone, camera and screen. These go live to the others in the call through Cloudflare’s Realtime network. Calls are never recorded.
- Chat and reactions. Passed straight to the others in the call and not stored.
- On your device. Your settings (microphone, caption language, “Caption my voice”), profile and theme are kept in your browser, not on our servers.
Live captions and translation
Anyone in a call can turn on captions. While anyone has them on, everyone in the call sees “Captions on”, and the speech of each person who hasn’t turned off Caption my voice is:
- cut into short phrases at pauses (silence is never sent),
- turned into text, and translated into the languages people in the call have chosen, by AI models running on Cloudflare Workers AI,
- shown as captions to the people in the call.
Captions themselves aren’t stored: not the audio, not the text. (If the host has notes on, the text also goes into oogaAI’s notes; see below.) Cloudflare processes it only to return the result, doesn’t keep it afterwards, and doesn’t use it to train AI models. Our logs record how long each step took, never what was said.
Captions and translations are made automatically and can be wrong. To keep your voice out of captions, turn off Caption my voice before you join or in the call’s audio settings. Your microphone is then never sent for captions, and others see that you’re not captioned.
oogaAI's notes
oogaAI, OogaChat’s assistant, takes notes only when the room’s host chooses it, when they create the meeting or during the call. Notes are part of the Pro and Team plans. While notes are on, everyone in the call sees Notes on, and is told whenever they’re switched on or off.
- The speech of each person who hasn’t turned off Transcribe my voice is turned into text by AI models on Cloudflare Workers AI, the same way as captions. Everyone in the call can see the transcript as it’s written. When the call ends, an AI model writes a summary, decisions and action items from it.
- When the call ends, the transcript, notes and drafted follow-ups are saved as a recap that only the host can see. They stay until the host deletes the call, the room or their account. Deleting removes them from our servers for good. Audio is never kept.
- oogaAI drafts an email with the notes, but nothing is sent until the host checks and approves it. It goes only to people the host invited, people who asked for the notes before joining (by giving an email address, which only the host sees), and attendees signed in with an OogaChat account. Each person gets their own copy, so nobody sees anyone else’s address.
- Notes and recaps can be wrong, since they’re written automatically. Turning off Transcribe my voice keeps your words out of the transcript and notes; others see that you’re not transcribed.
- When you start a call, oogaAI greets you by your first name and asks you out loud whether to take notes and whether to transcribe your voice. Your first name is sent to a speech model on Cloudflare Workers AI to say the greeting. Each spoken answer is recorded in your browser, turned into text by AI models on Cloudflare Workers AI to set the switch, and then discarded. Neither the audio nor the text is kept.
What we don't do
- We don’t sell or rent your data, or share it for advertising.
- We don’t use analytics or tracking tools, and the only cookie is the one that keeps you signed in.
- We don’t record calls, keep audio, or use what you say to train AI models.
Who handles your data for us
OogaChat runs on Cloudflare, Inc., which hosts the app and its database, carries calls (Realtime), runs the caption models (Workers AI) and sends sign-in emails. Cloudflare processes data on our behalf under its data processing terms. Its network is worldwide, so your data may be processed outside your country, including in the United States. Transfers from the EU, UK and Switzerland are covered by Cloudflare’s data processing terms, including the standard contractual clauses.
Why we use your data
- To provide OogaChat (your account, rooms and calls): it’s needed for the service you asked for.
- oogaAI’s notes: the host’s legitimate interest in a record of their own meeting. Everyone is told when notes are on, and anyone can keep their own voice out with Transcribe my voice.
- To keep it secure (sessions, IP addresses, limits on abuse): our legitimate interest in protecting you and the service.
- Live captions: the legitimate interest of the people in the call in understanding each other, including across languages and for people who are deaf or hard of hearing. Everyone is told when captions are on, and anyone can opt out with Caption my voice.
How long we keep it
- Account and rooms: until you delete them or ask us to.
- Recaps (transcript, notes and drafts): until the host deletes the call, its room or their account.
- Sign-in codes: 10 minutes. Sessions: up to 30 days.
- The people list in a call: while you’re in it.
- Audio, video, chat and captions: not kept. While a call with notes is under way, its transcript is held only until the recap is saved.
Your rights
Wherever you live, you can ask us to show you the data we have about you, correct it, delete it, or send you a copy. Depending on where you live (for example in the EU or UK), you also have the right to object to how we use it, and to complain to your local data protection authority. Email [privacy@your-domain] and we’ll reply within 30 days. If you were a guest in someone else’s call, its recap belongs to that host, so you can also ask them directly.
Children
OogaChat isn’t meant for anyone under 16, and we don’t knowingly collect their data.
Changes
If we change this policy, we’ll update the date above, and tell account holders by email about important changes. See also our Terms.
